1. Introduction

Wise Moves Yoga & Pilates (“Wise Moves,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what personal information we collect when you visit wisemovesyoga.com.au, book classes, buy memberships, or attend sessions at our studio, how we use and protect it, and the choices and rights you have.

Wise Moves Yoga & Pilates is a registered business name of Angela C Williams, a sole trader (ABN 39 577 905 943). We are located at Falcon Shopping Centre, 7/6 Baroy St, Falcon WA. We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), and this policy explains how we meet them.

By using our website or services, you acknowledge that you have read this Privacy Policy. If you do not agree with it, please do not use the website.

2. Information we collect

We collect only the information we need to run our website and provide our services.

Information you give us

  • Contact details: name, email address, mobile number, and birthday (optional) when you sign up, book a class, or send us an enquiry.
  • Booking and membership information: classes booked and attended, membership or class-pack type, and cancellation history.
  • Health and fitness information: injuries, medical conditions, pregnancy, and fitness level that you share on our intake or waiver form or tell your instructor. We collect this only with your consent so instructors can offer safe modifications. Health information is “sensitive information” under the Privacy Act, so we handle it with extra care.
  • Emergency contact: the name and phone number of someone we can call if you are hurt or unwell during a session.
  • Waivers and signatures: your signed liability waiver and studio policy agreement.
  • Payment information: purchase history and the details needed to process your payment. We accept direct deposit (bank transfer), which is our preferred method, as well as cash and credit card. Card payments are processed by our payment providers; we do not store full card numbers.
  • Photos and videos: images taken during classes or events. See Section 3 for how we use them and how to opt out.
  • CCTV footage: we have security cameras at the studio’s front door, so we can see who is coming in, and in the Reformer nook, so we can monitor self-led sessions. Footage is used only for security and safety.
  • Communications: messages you send us by email, SMS, Facebook Messenger, Instagram, or WhatsApp, plus any feedback or reviews.

Information collected automatically

  • Device and usage data: IP address, browser type, operating system, pages visited, time spent on pages, and referring website.
  • Approximate location: country or city, inferred from your IP address.
  • Cookies and similar technologies: see Section 4.

Information from third parties

We may receive information from analytics providers, advertising partners, or social media platforms when you interact with Wise Moves through them, subject to their own privacy policies.

3. How we use your information

We use your information to:

  • Manage your bookings, memberships, class packs, waitlists, and check-ins.
  • Keep you safe in class: instructors use the health information you share to suggest modifications, and we use your emergency contact only if you need urgent help.
  • Process payments and send receipts, booking confirmations, and schedule changes.
  • Respond to your enquiries and provide customer support.
  • Send newsletters, promos, and event announcements, only where you have agreed. You can unsubscribe at any time.
  • Share class photos or videos on our website and social media. If you’d rather not appear, you can opt out on your Momence waiver or by contacting us at any time, and we’ll stop using images of you and remove any we’ve posted.
  • Understand how visitors use the website so we can improve it.
  • Keep the studio secure, including through CCTV, and detect and prevent fraud, misuse, and security issues.
  • Comply with legal obligations and enforce our studio policies and terms.

We only use your information for the purpose we collected it for, for related purposes you would reasonably expect, or as the law allows. We do not sell your personal information.

We do not sell or rent your personal information. We share it only in these cases:

  • Our instructors: they see your name, booking, and any health information you shared, only so they can teach you safely.

6. Data retention and security

We keep client records, including bookings, payments, waivers, and health information, for 7 years after your last visit, as required for tax and legal purposes. After that, we securely delete or anonymise them.

We use reasonable organisational, physical, and technical safeguards to protect your information, including encrypted (HTTPS) connections, access controls, and trusted service providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

We do not use computer programs to make decisions about you that could significantly affect your rights or interests.

To use any of these rights, email us at [email protected] or call LJ on 0405 435 774. We may need to verify your identity first and will respond within the period required by law.

To stop marketing emails, click “unsubscribe” in any email we send.

8. Children, data storage, and other websites

Children’s privacy. Clients under 18 may join our classes only with a parent or guardian’s consent, and the parent or guardian provides and manages the minor’s information, including health details and the waiver. We do not knowingly collect information directly from minors without that consent. If you believe we have, contact us and we will delete it.

Where your information is stored. Some of the online tools we use, such as Momence, may store information on secure servers outside Australia. When this happens, we make sure your information is protected as Australian privacy law requires.

Third-party links. Our website may link to other websites and services we do not control. This policy does not cover them, so please read their privacy policies.

9. Changes and contact us

We may update this Privacy Policy from time to time. The “Last updated” date at the top shows when it last changed. If we make significant changes, we will post a notice on the website or email you.
